How Refugees Welcome respect privacy when we collect and handle personal information

This Privacy Policy applies to information Refugees Welcome collect about individuals who interact with our organisation. It explains what personal information we collect and how we use it.

1. Personal data that we process
We have three main groups of persons, that we collect data about:
A) Persons who wish to be a member or support the organisation in other ways
B) Persons who wish to receive newsletters
C) Persons who ask us to help with their case, e.g. regarding asylum.
Group A is only asked for information so that we can identify your contributions and inform the tax authorities if you wish. We will only contact you, if we have problems with your payment or if we need to give you important information about your membership. We will never use your contact information to ask you to increase your contributions.
Group B will only receive newsletters, we will not contact you regarding anything else.
Group C is only asked for information necessary for us to help with your case or answer your questions.
The following table explains the types of data we collect and the legal basis, under current data protection legislation, on which this data is processed.
2. How we use your data
We will only use your data in a manner that is appropriate considering the basis on which that data was collected, as set out in the table above.
For example, we may use your personal information to:
● reply to enquiries you send to us;
● keep you informed, as long as you wish
● handle donations or other transactions that you initiate.
3. When we share your data
We will only pass your data to third parties in the following circumstances:
● you have provided your explicit consent for us to pass data to a relevant third party;
● we are using a third party purely for the purposes of processing data on our behalf and we have in place a data processing agreement with that third party that fulfils our legal obligations in relation to the use of third party data processors; or
● we are required by law to share your data. Keep in mind, that we have a duty of confidentiality when counselling.
In addition, we will only pass data to third parties outside of the EU where appropriate safeguards are in place as defined by Article 46 of the General Data Protection Regulation (Regulation (EU) 2016/679) of 27th of April 2016).
4. How long we keep your data
We take the principles of data minimisation and removal seriously. Therefore we have an internal policy in place to ensure that we only ever ask for the minimum amount of data for the associated purpose. The policy also ensures that we delete data once it is no longer required. We run through all information at least once a year making sure, that we do not store any excess data. We only keep information which is relevant to research purposes or where we assess, that it a case might still need a follow up.
5. Rights you have over your data
You have a range of rights over your data, which include the following:
● Where data processing is based on consent, you may revoke this consent at any time and we will make it as easy as possible for you to do this (for example we have ‘unsubscribe’ links at the bottom of all our newsletters and you can end your membership any time by writing to us).
● You have the right to ask for rectification and/or deletion of your information.
● You have the right of access to your information.
● You have the right to lodge a complaint with the Danish Data Protection Agency if you feel your rights have been infringed.

If you would like to access the rights listed above, or any other legal rights you have over your data under current legislation, please get in touch with us.
Please note that relying on some of these rights, such as the right to deleting your data, will make it impossible for us to continue to advice you or contact you. However, where possible we will always try to help you, even though you ask us to delete information.
6. Cookies
A cookie is a small file of letters and numbers that is downloaded on to your computer when you visit a website. Cookies are used by many websites and can do a number of things, e.g. registration of numbers of visitors on the different sites.
As mentioned in the table we use cookies to deliver a functional website. Vi only use cookies to see how long you use the websites, where the users of the website is in the world, which language you choose at the website and alike.
It is important for us to stress that we do not share information collected through cookies to any commercial purposes.
We use Google Analytics to collect the cookies. The data is collected anonymously and is stored by Google. Google's privacy policy is available at http://www.google.com/privacypolicy.html.
7. Modifications
We may modify this Privacy Policy from time to time and will publish the most current version on our websites. If a modification meaningfully reduces your rights, you will be notified about the change.
